Volunteer Systems Assistant
$18.50 + 4% in lieu of benefits
Temporary Full-Time; May 5, 2025 - Aug 29, 2025
SUMMARY OF DUTIES:
Reporting in to the Coordinator, Volunteer Services, the Summer Youth Program & Volunteer Systems Assistant will play a key part in supporting summer youth programming while assisting in the integration and management of a new Volunteer Management Information System (VMIS).
This position is ideal for someone who enjoys working with technology, organizing data and engaging with volunteers.
DESCRIPTION OF DUTIES:
- Assist in the implementation and roll out of a new Volunteer Management Information System (VMIS), ensuring seamless integration with existing organizational processes.
- Input and organize volunteer data, including profiles, schedules, and contact information, into the system.
- Train staff and volunteers on how to use the VMIS effectively, including scheduling and communication tools.
- Troubleshoot issues related to the system and coordinate with technical support teams for resolution.
- Develop user guides and Frequently Asked Questions (FAQ) resources to support staff and volunteers during the transition.
- Generate and analyse reports from the system to track volunteer participation, hours, and impact metrics.
- Provides support and back up, as needed, to Summer Youth Program Assistant for recruitment, screening, selection, matching, scheduling and mentoring youth volunteers.
- Assists with the orientation of new youth volunteers for summer, including co-facilitation of full-day orientation session.
- Helps to greet youth volunteers as they come on duty each weekday during July and August and escorts them to placement area, as needed.
- Models the ideals of the Summer Youth Program and Perley Health Core Values.
- Assists with Summer Youth Volunteer recognition event.
- Provides clerical support to Volunteer Services, including filing, data entry, photocopying, etc.
MINIMUM EDUCATION & SKILL REQUIREMENTS
- Currently pursuing or recently completed a diploma or degree in Social Work, Education, Non-Profit Management, Information Technology, Youth Development or a related field is considered an asset.
- Prior experience in supporting youth programs or community initiatives, volunteering or database and information system use is considered an asset.
- Excellent interpersonal skills are required to communicate with youth volunteers and staff
- Ability to function compatibly and effectively in a team environment.
- Flexibility and openness to new ideas.
- Previous experience and skill as a volunteer.
- Knowledge of long-term care setting would be an asset.
- Experience with database administration considered an asset
- Proficiency in Microsoft Word
- Ability to operate standard office equipment
